Privacy Policy
Nelcore Portal, operated by Nelcore Solutions, LLC. Last updated November 1, 2026.
Nelcore Portal (“the Portal”) is a web application that Alabama community colleges and the ACCS Innovation Center use to run Skills for Success courses: scheduling labs, keeping rosters, documenting completion, working with K-12 partners and lab instructors, and promoting community labs. This policy explains what information the Portal handles, why, who sees it, and your choices. When we say “we,” we mean Nelcore Solutions, LLC.
1. Who is responsible for the information
Each college decides what student and program information it puts in the Portal and is responsible for that information, including compliance with FERPA and other laws that apply to it. We act as the college's service provider and use the information only to operate the Portal for that college. Information is kept separate for each college, and a college's staff can see only their own college's records.
2. Information we collect
- College staff and administrators: name, work email, role and permissions, and sign-in details. Sign-in is by email and password or by the college's Microsoft account. Passwords are stored only in protected, hashed form by our authentication provider.
- Students in Skills for Success courses: name, college A number, course enrollment, whether coursework and labs were completed, and attendance on lab sign-in sheets. Course grades are not stored in the Portal.
- K-12 teachers and partners who request courses: name, work email, phone, school, job title, and the courses requested. Teachers create an account with a password.
- Lab instructors: legal name, email, phone, optional Banner A number, answers to eligibility questions, background-check status and date, and the resume the instructor uploads.
- Community members who sign up for a community lab: name and email, used to send a confirmation message and count sign-ups.
- Documents and files: signed lab sign-in sheets, student checklists, certificates, and the college's uploaded logos and brand materials. Files are stored privately.
- Social media accounts: the public page names a college enters to tag and open its accounts. If a college connects a Facebook, Instagram, LinkedIn or X account so the Portal can publish on its behalf, we store the access token the platform gives us, only to publish posts the college staff member chooses to make. We do not read private messages, friends lists or other personal content.
- Technical information: basic logs such as sign-in times and errors, used to keep the Portal secure and working. We do not use advertising trackers.
3. How we use information
- To provide the Portal: rosters, lab scheduling, course documents, certificates, reports and notifications.
- To send email the Portal needs to work, such as sign-in links, invitations, confirmations and class-ready notices.
- To publish a social media post when a college staff member asks the Portal to.
- To protect the Portal from misuse and to fix problems.
We do not sell personal information, and we do not use it for advertising or share it for others to advertise.
4. Who we share information with
Only the people and services needed to run the Portal:
- The college, and the ACCS Innovation Center where a college's program reporting requires it.
- Our service providers, who process information only for us: Supabase (database, sign-in and file storage), Vercel (hosting), Resend (email delivery), Microsoft (single sign-on for colleges that use it), and Cloudflare (spam protection on public forms, where enabled).
- Facebook, Instagram, LinkedIn or X, only when a college asks the Portal to publish a post to its own account.
- Anyone else only if the law requires it, or to protect people from harm.
5. Security
Information is encrypted in transit and stored with access rules that limit each person to the records their role allows. Files such as resumes and signed forms are kept in private storage. No system is perfectly secure, but we work to protect information and we limit staff access to what is needed.
6. How long we keep information
We keep information for as long as the college uses the Portal and its records rules require, then delete or return it when the college asks. Teachers and community members can ask us to delete their information at any time (see section 8).
7. Children and students
The Portal is used by college employees, K-12 teachers and instructors. K-12 students appear in a class roster only because their school or the college enrolled them in a course. Students do not sign in to the Portal or create accounts, and we do not collect information from children directly.
8. Your choices, access and deletion
You can ask to see, correct or delete information we hold about you. Students should contact their college. Everyone else, including teachers, instructors and community members who signed up for a lab, can email tnelson@nelcore.net with the email address you used, and we will delete it unless a college must keep it as a required record. If you connected a social media account, you can also remove the Portal's access at any time in that platform's settings (Facebook and Instagram: Business Integrations; LinkedIn: Permitted Services; X: Connected Apps), or ask a college administrator to disconnect it.
Data deletion instructions: email tnelson@nelcore.net with the subject “Delete my data” and the email address on your account. We will confirm deletion within 30 days.
9. Changes to this policy
If we change this policy, we will post the new version here and update the date above. Material changes will also be shared with colleges.
